This Privacy Policy explains how Agentik Technologies Pvt Ltd ("Company," "we," "our," or "us"), operating the Dovient AI-powered maintenance management platform and related services (collectively, the "Services"), collects, processes, stores, and protects your personal and operational data.

By using our Services, you acknowledge that you have read and understood this Privacy Policy. If you do not agree with the practices described herein, please do not use our Services. This policy should be read in conjunction with our Terms of Service and Cookie Policy.

This Privacy Policy applies to all users of the Dovient platform, including administrators, maintenance managers, technicians, and any other individuals who access or interact with our Services.

2. Data We Collect

2.1 Account and Profile Data

When you create an account or are invited to join an organization on Dovient, we collect your name, email address, job title or role, phone number (optional), and organization name. This information is necessary to provide you with access to the platform and manage your account.

2.2 Uploaded Operational Content

Your organization may upload standard operating procedures (SOPs), equipment manuals, work order histories, technician notes, inspection records, and other maintenance documentation to the platform. This content is stored securely and is used solely to power your organization's AI-assisted knowledge base. We do not use your uploaded content to train AI models.

2.3 Usage and Interaction Data

We collect information about how you interact with the platform, including AI Copilot queries and responses (anonymized for analytics), features accessed and frequency of use, work orders created or updated, and search queries within the Knowledge Hub. This data helps us improve the platform experience and ensure the AI delivers relevant results.

2.4 Technical Data

When you access the Services, we automatically collect technical information including IP address, browser type and version, device type and operating system, session duration and timestamps, and referral URLs. This data is collected through standard web server logs and analytics tools.

2.5 Communication Data

If you contact us for support, submit a demo request, or communicate with us through any channel, we retain the content of those communications along with your contact details to respond to your inquiry and improve our support processes.

3. How We Use Your Data

We use the data we collect for the following purposes:

  • Platform delivery: To operate, maintain, and improve the Dovient platform, including AI-powered search, knowledge retrieval, and work order management.
  • Authentication and access control: To verify your identity, manage role-based permissions, and maintain audit trails for compliance.
  • AI processing: To process your queries through the AI Copilot and MissingDots verification engine. Sensitive identifiers in your data are anonymized through multi-layered masking before any AI model interaction.
  • Analytics and improvement: To analyze anonymized usage patterns, identify platform issues, and develop new features. We never analyze your operational content for purposes other than delivering the Services to your organization.
  • Customer support: To respond to your inquiries, troubleshoot issues, and provide onboarding assistance.
  • Security and compliance: To detect and prevent fraud, unauthorized access, and other security threats. To comply with applicable legal obligations.

We do not use your operational data, uploaded documents, or query history to train AI models. Your data is yours.

4. Third-Party Sharing

We do not sell, rent, or trade your personal or operational data to third parties. We share data only in the following limited circumstances:

4.1 Infrastructure Providers

We use cloud infrastructure providers (such as AWS) to host and operate the platform. These providers process data on our behalf under strict data processing agreements and do not have independent access to your content.

4.2 Analytics

We use analytics tools to understand platform usage patterns. Only anonymized, aggregated data is shared with analytics providers. No personally identifiable information (PII) or operational content is included.

4.3 Payment Processors

If you subscribe to a paid plan, your payment information is processed directly by our payment processor. We do not store credit card numbers, bank account details, or other sensitive financial information on our servers.

4.4 Legal Requirements

We may disclose your data if required to do so by law, regulation, legal process, or government request, or if we believe in good faith that disclosure is necessary to protect our rights, your safety, or the safety of others.

5. Cookies and Tracking Technologies

5.1 Essential Cookies

We use essential cookies to maintain your authentication session, remember your preferences, and ensure the platform functions correctly. These cookies are necessary for the Services to operate and cannot be disabled.

5.2 Analytics Cookies

5.3 No Advertising Cookies

We do not use advertising or behavioral tracking cookies. We do not serve targeted advertisements on the Dovient platform.

7. Data Retention

We retain your data for the following periods:

  • Account data: Retained while your account is active and for 90 days after a deletion request to allow for account recovery.
  • Uploaded documents and operational content: Retained while your organization's subscription is active. Upon cancellation or deletion request, content is permanently deleted within 30 days.
  • Anonymized analytics data: Retained for up to 24 months for platform improvement purposes. This data cannot be linked back to individual users.
  • Backup copies: Purged within 30 days of primary data deletion.
  • Communication records: Retained for up to 12 months for support quality and compliance purposes.

You may request a copy of your data before canceling your subscription. Contact our support team at support@dovient.com to initiate a data export.

8. Security Measures

We implement robust technical and organizational measures to protect your data, including:

  • AES-256 encryption for data at rest
  • TLS 1.2 or higher for data in transit
  • Multi-layered data anonymization before any AI model processing
  • Role-based access control (RBAC) with principle of least privilege
  • Comprehensive audit trails for all data access and modifications
  • Regular security assessments and vulnerability testing
  • Isolated customer tenants with no cross-tenant data access

9. Children's Privacy

The Dovient platform is designed for enterprise and industrial use only. We do not knowingly collect, process, or store personal data from individuals under 18 years of age. If we become aware that we have inadvertently collected data from a minor, we will take steps to delete that information promptly.

10. International Data Transfers

Your data may be processed and stored in data centers located outside your country of residence. We ensure that any international data transfers comply with applicable data protection laws, including the use of standard contractual clauses or other approved transfer mechanisms where required.
